Samford employees send approximately 13,000 emails every day. Each email is an opportunity to present yourself and the university positively and professionally with a consistent message and design that contribute to improved awareness and better branding. In just a few minutes, you can create a personalized signature to use on mobile devices, desktops and the web. When you complete the form, you’ll find step-by-step directions for setting up and using your new signature.
Note: You will need to add or update your signature from each device/email client from which you plan to use it. For example, if you send email from your Mac and iPhone and also answer email online using Outlook 365, you will need to open a browser and complete the signature form on each device following the instructions for the email clients you plan to use on that device.
Instructions
- Check to make sure everything in your signature is correct.
- Update any necessary fields, and if needed, press the Preview Signature button.
- When you are finished, press the Copy Signature button and follow the instructions for your device below.
Gmail Mobile App
Note: The Gmail Mobile app does not allow images or formatting in signatures.
- Select Settings from the Gmail application toolbar.
- Select the email account with which you wish to use your signature.
- Select the Mobile Signature option.
- Delete any existing content in the signature edit box, long press and choose Paste.
- Choose the OK button.
Gmail Web App
- Select the gear icon in the top toolbar.
- Click the See all settings button and scroll down to the Signature section near the bottom of the right-hand pane.
- Select a signature to update or click the Create new button and give your signature a name.
- Delete any existing content in the signature edit box, then right-click and choose Paste.
- Click the Save Changes button.
Apple Mobile Mail App
Note: The Apple Mobile Mail app does not allow images or formatting in signatures.
- Select the Settings app.
- Select Mail from the list of apps.
- Select the Signature option.
- If you have multiple email accounts, select the Per Account button and then choose the signature edit block corresponding to your Samford email account.
- Delete all of the content from the signature edit box, long press and choose Paste.
- Exit the app.
Outlook 365 Web App
Note: Outlook 365 typically replaces link colors with a default blue. See step 5 to correct this issue.
- Select the gear icon in the upper-right-hand side of the toolbar.
- Select the View all Outlook settings link the lower-right-hand pane.
- Choose the Compose and reply option.
- Delete any existing content in the signature edit box and press CTRL/Command + V to paste in the contents of your signature.
- Highlight all of the text; click the down arrow next to the font color icon in the editing toolbar; choose the More colors button; enter 0c2340 in the Hex field; and click the OK button.
- Click the Close (x) icon in the upper-right-hand corner of the Compose and reply panel and then click the Save button.
Outlook for Mac
Note: Outlook for Mac automatically underlines all links. See step 5 to correct this issue.
- Create a new email message.
- Choose the Signatures button and select Edit Signatures from the menu.
- Select a signature to update and click the Edit button or click the Plus (+) icon to create a new signature.
- Delete any existing content in the signature edit box, right-click and choose Paste from the menu.
- If the links in your signature are underlined, highlight all underlined text and click the U button in the toolbar, then click it a second time to remove all underlining.
- Click the Save button and close the Signature dialog box.
Outlook for Mobile
Note: Outlook Mobile does not allow images in email signatures and reformats links to a default blue when sending.
- Touch the account avatar in the upper-left-hand corner of the screen.
- Select the gear icon in the lower-left-hand corner of the screen.
- Delete any existing content in the signature edit box, long press and click Paste.
- Touch the checkbox in the upper-right-hand corner of the screen.
- Exit the Settings dialog screen.
Outlook for Windows
Note: Outlook for Windows automatically underlines all links. See step 5 to correct this issue.
- Create a new email message.
- Choose Insert from the toolbar, click the Signature button and select Signatures from the menu.
- Select a signature to update or click the New button.
- Delete any existing content in the signature edit box, right-click and choose Paste Keep Source Formatting from the menu.
- If the links in your signature are underlined, highlight all underlined text and click the U button in the toolbar, then click it a second time to remove all underlining.
- Click the OK button.
